Customer story

Northwind paced 12 HubSpot workflows and stopped fighting rate limits.

A 40-person B2B SaaS team replaced ad-hoc HubSpot delays with Trickle and got predictable, even enrollment across every workflow.

The problem

Northwind ran twelve always-on HubSpot workflows that fanned out to email, Slack, and an internal lead-routing API. Whenever a marketing campaign drove a spike, the workflows enrolled hundreds of contacts at once. The result: rate-limit errors on their internal API, sales reps complaining about lead avalanches on Mondays, and prospects getting four touches in two minutes.

What they tried first

They tried HubSpot's built-in delay steps and goal-based branching. Both helped a little, but neither solved the actual problem: too many records moving through the workflow at the same time. Delays just shifted the spike; they didn't smooth it.

Adding Trickle

The team installed Trickle from the HubSpot Marketplace, dropped the Trickle action into each of the twelve workflows, and configured a release rate appropriate to the downstream system. Welcome series got 25 contacts every 5 minutes. Lead routing got 5 every 60 seconds. The OpenAI enrichment workflow got 100 every 10 minutes.

Results after 90 days

Zero rate-limit errors against their internal API. Reply rates on the welcome series climbed 38% — prospects were no longer getting blasted in clusters. Reps reported a "much calmer Monday morning" because new leads now arrived steadily across the day instead of all at 9:01am.

"Trickle did one thing and did it exactly right. We set it up in an afternoon and forgot about it. The Monday-morning lead avalanche is just gone."
— RevOps Lead, Northwind
